Maintaining a clean office is essential for boosting productivity, promoting health and safety, and enhancing the overall work environment. A tidy office and welfare help colleagues focus, reduces the spread of germs, and minimises hazards, leading to fewer illnesses and accidents.

A clean office creates a professional image that impresses customers and visitors. By ensuring a clean and comfortable workplace, we can increase colleague morale, reduce stress, and foster a more productive and harmonious environment. Investing in site cleaning is not just about aesthetics; it’s about creating a healthy, safe, and motivating space for everyone.

  • Have a risk assessment for the task of cleaning which outlines the PPE requirements for tasks.
  • Have a dedicated cleaning cupboard with shelving for the storage of equipment and cleaning materials ensuring compliance with COSHH regulations.
  • Provide a low-level sink or appropriate hose for the filling of mop buckets.
  • Smaller sites may use the site stores for cleaning materials, its location and access must be considered in relation to the accommodation facilities that needs to be cleaned.
  • Provide a point of contact for the cleaners, if cleaners are expected to travel to mobile site locations transport will need to be arranged.
  • Outline the scope and frequency for cleaning activities and set up an inspection regime that is clearly communicated so the cleaning team know what is expected, e.g. messrooms to be cleaned after all breaks.
  • Eliminate where possible, if not, then minimise the movement of heavy cleaning equipment between floors.
  • Install branded and professional signage for cleaning cupboards and when cleaning activities are in progress.
  • Provide colour coded cloths for different works areas:
    • Red: High-risk areas, e.g. toilets and urinals.
    • Blue: General, low-risk areas, e.g. offices, classrooms, and public areas.
    • Green: Food preparation and service areas.
    • Yellow: Wash room surfaces, sinks, and cabinets.
  • Ensure courtesy signs on the entrance of toilet facilities are used advising of the gender of the cleaner in attendance. This is an important cultural consideration.
  • Know and communicate with the relevant parties the actions and arrangements in event of ‘deep clean’ requirement as a result of an outbreak.
  • Appointing ‘contract’ cleaners depending on the size of the welfare/office facilities.
  • Purchase order raised for contract cleaner through materials desk. PQQ process to be followed.
  • Including periodic ‘deep cleans’ within any subcontract placed.
  • Competency of cleaners – BICSc accredited training for contract cleaning operatives is desirable.
  • Lone/out of hours working if cleaners are coming into office locations after office hours.
